Spirit Motor Group, one of Ireland’s largest retail automotive groups is seeking a full-time Senior Sales Administration Team Lead to join our busy retail dealership team in Sandyford, Dublin including Jaguar, Land Rover, Volvo, Polestar, Ford, Skoda, SEAT, Cupra, and Volkswagen service.
Role Purpose
The Senior Sales Administration Team Lead is responsible for leading the Sales Administration function, ensuring all operational, administrative, and compliance processes run smoothly across the sales cycle. The role provides structured leadership to the sales, oversees the accuracy and flow of sales documentation, and acts as a key coordination point between Sales, Finance and after sales across each franchise.
This position is central to maintaining a strong market reputation through high-quality administration, responsive customer support, and reliable process execution.
Key Responsibilities
1.Leadership & Team Management
- Lead, support, and coordinate the Sales Administration.
- Allocate workload, monitor performance, and ensure deadlines and service standards are met.
- Provide coaching, guidance, and problem-solving support to team members.
- Promote a collaborative, high-performance culture within the department.
2. Sales Documentation & Transaction Processing
- Process purchase invoices from importers using the Keyloop Dealer Management System.
- Process new and used vehicle order forms, invoices, and related documentation
- Maintain accurate vehicle transaction records and customer details.
3. Customer, Sales & Finance Coordination
- Collaborate daily with sales and finance teams to ensure seamless order progression.
- Assist in resolving administration queries relating to vehicle sales transactions.
- Support customer‑facing teams by ensuring documentation accuracy and timely updates.
4. Grants, Discounts & Compliance Administration
- Administer manufacturer discounts, including applications, approvals, and documentation.
- Manage SEAI grant applications for electric vehicles, ensuring timely submission and compliance.
- Set up and administer vehicle warranty registrations.
5. Importer & External Stakeholder Coordination
- Liaise with importers regarding vehicle payments, documentation, and reconciliation.
- Ensure all required documentation is complete, accurate, and compliant with importer and manufacturer standards.
6. Data Integrity, Reporting & Process Improvement
- Maintain high standards of data accuracy across the dealer management systema and other internal systems,
- Support weekly reporting and monitoring requirements for sales, finance, and operational teams.
- Identify process gaps and contribute to continuous improvement initiatives within the sales administration workflow.
Required Skills, Knowledge & Experience
- Minimum 5–8 years of progressive experience with at least 2–3 years supervising or leading a team in a fast-paced motor industry environment.
- Experience managing people or workloads.
- Strong written and verbal communication skills with colleagues and customers.
- Highly organised, with the ability to multi-task and manage competing priorities.
- Proficiency with Microsoft Office and aptitude for learning new systems.
- Knowledge of CRM or Dealer Management Systems (e.g., Kerridge, Keyloop) is an advantage.
- Ability to work effectively in a high-energy environment and meet deadlines.
- Knowledge of the motor trade is beneficial.
